Compare wholesale order requirements, approve a complete-set sample and plan delivery around your required arrival date with this practical Couleelight buying guide.

Know what your quote includes, approve a sample that matches your order, and plan backward from the date you need stock. Here is how to make your first bulk order easier to compare and manage.

A low unit price is only useful when it covers the product you expect. A missing battery, a separate packaging minimum or a misunderstood dispatch date can change both your budget and your launch plan. For retailers, distributors and hospitality buyers, four questions matter before a bulk order: how many, which sample, what total cost and when will it arrive?

1. MOQ: what is the smallest order you can actually place?

MOQ means minimum order quantity. The useful question is not just “What is your MOQ?” It is “What is the MOQ for this exact configuration, and how is it counted?”

An order split across three bulb styles creates a different sourcing brief from the same quantity of one style. Different cable lengths, light colors, control boxes or printed cartons may create separate production requirements. Do not assume mixed models can be combined to reach one minimum.

Order routeWhat to clarifyHow to simplify a first order
Existing configurationMOQ per model and whether the configuration is currently availableChoose one light style and one length
Existing product with your brandingSeparate minimums for logo printing, labels, manuals and retail boxesAsk whether standard packaging with a label is feasible
Modified or newly developed productDevelopment scope, component minimums, tooling and approval stagesSeparate essential changes from optional features

If your trial quantity is below the quoted MOQ, share your target quantity and realistic reorder plan. Ask whether an existing configuration, fewer variations or simpler packaging could make the trial practical. Confirm feasibility and minimums before committing to that route.

Budget check: compare the cash tied up in your first order, not only the unit price. A lower price at a much larger quantity may leave you with more inventory than your first season can sell.

2. Samples: approve the complete system before buying in bulk

A sample should answer a purchasing question: Does this product deliver the appearance, operation and installation experience your customers expect? A controller sample alone cannot demonstrate the performance of the finished light string.

Sample approval checklist covering set contents, dimensions, operation, runtime conditions, installation and packaging
Use one approval record for the exact sample and configuration you intend to order. Keep the signed specification and packaging version with it.

Are samples free? Confirm this for the item you want to test. Ask for an itemized sample offer covering the product, any customization and courier delivery. If there is a sample fee, ask whether it can be credited against a later bulk order and under what conditions.

A practical sample approval checklist

  • Set contents: record the light string, panel, battery, controller, remote, charging cable and mounting parts actually included.
  • Appearance and dimensions: check bulb shape, material, spacing, total length and unlit lead cable. A photo alone cannot confirm dimensions.
  • Electrical match: confirm voltage, load, connector type and polarity. Similar-looking connectors do not establish compatibility.
  • Controls: try the agreed modes, timer, dimming, remote and dusk operation. Confirm which settings are retained after switching off.
  • Runtime: record charging method, initial charge, brightness setting, lighting mode, connected load and the point at which output becomes unusable. A flashing-mode claim does not establish steady-light runtime.
  • Installation: check panel positioning, mounting parts, connector assembly and instructions with the intended user in mind.
  • Documents and packaging: request applicable model-specific specifications, test evidence, labels, instructions and carton details for your market.

Agree which parts have documented outdoor protection ratings, including the controller, connectors and light string. Practical sample checks complement the applicable test evidence. Record any issue, agree the correction and confirm whether a revised sample is needed before production.

For a café or hotel: state the hours of usable light you need each evening and the likely solar exposure. Ask for a configuration review against those conditions rather than choosing solely by bulb appearance.

3. Pricing: compare what is included, not just the headline number

Two offers for “solar globe string lights” may cover very different products. Bulb count and material, wire construction, panel size, battery capacity, controller functions and retail packaging can all change the cost.

Quote lineWhat to get in writingProblem it prevents
Product unitOne complete set or one component; exact included partsComparing a controller with a ready-to-sell kit
QuantityPrice tiers for the same specification and quantity per SKUA cheaper price based on an unsuitable order size
Battery and panelBattery inclusion, capacity, panel output and configurationUnexpected component charges or mismatched expectations
Branding and packagingUnit costs plus any artwork, setup or tooling chargesMissing one-time costs
Delivery basisCurrency, agreed trade term, named place or port, and shipping scopeTreating a product price as a delivered price
Commercial termsQuote validity, payment schedule, warranty and claim procedureRelying on assumptions when placing or receiving the order

Turn the quotation into a landed-cost budget

Your planning total should include goods + customization/setup + packaging charges not already included + freight/insurance + import and local delivery costs. Confirm destination charges with your logistics provider and avoid counting the same charge twice.

Worked example: 500 sets × $12 = $6,000 for goods. Add $1,500 in non-overlapping additional costs and the planning total becomes $7,500, or $15 per set. These illustrative figures explain the method; they are not a Couleelight quotation or a shipping or import-cost estimate.

Ask for two or three quantity tiers using the same specification. If you need a lower price, ask which change saves money: fewer bulbs, different packaging or a simpler controller. Reapprove any change that could affect performance or the customer experience.

4. Lead times: factory completion is only one part of your schedule

A product can be ready at the factory and still miss your launch. Plan for specification review, sample preparation, courier transit, sample testing, revisions, bulk production, inspection, freight and final delivery.

Five-stage order plan: define the set, approve the sample, release production, inspect and dispatch, then receive stock; plan backward from arrival
Plan backward from your required arrival date. Agree a duration and owner for each stage; production time alone does not determine delivery time.

Get a schedule for your order and confirm what starts the production clock: deposit receipt, final sample approval, artwork approval or the latest of these milestones. Also confirm whether the supplier means working days or calendar days.

StageQuestion to settle
SamplesIs the sample ready, or must it be built? Does the quoted time exclude courier transit?
ApprovalWho signs off the sample, specification and packaging? How are revisions handled?
Bulk productionWhat starts the clock? Are days working days or calendar days? Are materials and capacity confirmed?
Inspection and releaseWhen can inspection occur, and what happens if corrective work is needed?
Transport and deliveryWhat are the pickup, departure and estimated arrival dates? What time is allowed for clearance and local delivery?

Work backward from the date you need stock

Start with the warehouse receipt date, then subtract transport and clearance, inspection and dispatch preparation, production, and sample approval. Add room for revisions and delays. Share this required arrival date in the first inquiry, especially for seasonal retail launches or events.

For a fixed event or seasonal launch: ask which date is a factory commitment and which is a transport estimate. Agree when you will receive a progress update and what decision is needed if a milestone slips. A rush shipment is only useful if the full revised cost and arrival estimate still work for your project.

5. Send a sourcing brief that gets you a useful quotation

You do not need to be an engineer to request a quote. Tell us what the product needs to do, what you already know and which details you need help choosing.

Frequently asked questions

What is the minimum order for wholesale solar string lights?

Request the current minimum for your model, length, light color and packaging. Confirm whether it applies per SKU, per carton or across the order. A control-box minimum does not establish the MOQ for a complete set.

Can I mix bulb styles to meet the MOQ?

Ask for approval of the quantity breakdown before ordering. Different styles or configurations may have separate minimums; a total order quantity alone does not confirm a mixed-order arrangement.

Can I order just the solar control box?

You can inquire about Couleelight control-box options separately. Provide the light string’s voltage, power or load, connector details, polarity and required functions for compatibility review. Bulb names such as S14 or G40 do not establish electrical compatibility.

Does production lead time include shipping?

Only if the quotation explicitly says so. Ask for separate production, dispatch and estimated delivery milestones, with a clear starting point for each.
